Privacy notice
OnScreenBot trains people on the web applications they use at work: a guide in Chrome's side panel, practical assessments and a web app for progress and results. This notice explains what OnScreenBot records, why, who sees it, how long it is kept and the rights you have. Your organisation's own notice may add to it.
Who is responsible
Your organisation is the controller. The organisation whose workspace you belong to (it invited you, or you joined through its verified email domain) decides how OnScreenBot is used for its training and is responsible for your data.
FasterApps operates OnScreenBot as its processor. FasterApps runs the service and processes data only on your organisation's instructions and to keep the service working and secure.
Your organisation's contact for privacy questions is named in the learner space under Privacy & tracking: the privacy contact your workspace sets, otherwise the owner of your workspace. FasterApps privacy contact: To be confirmed by the operator
When OnScreenBot records
- Only while a lesson or an assessment is running in the OnScreenBot side panel, on the training site your workspace configured (one exact web address). A Recording indicator shows whenever a lesson or an assessment is recording, and you can stop a lesson at any time.
- When you ask Guided Mode a question, also outside a lesson: the question and the answer are kept, with the page address (names and ids removed), the name of an open dialog that is part of the training and, during a lesson, the step you are on.
- Nothing is recorded on other websites or tabs, or while no lesson or assessment is running, except the Guided Mode questions you ask.

What is never recorded
- What you type into the training site: no keystrokes and no field contents. When a task asks you to enter something, OnScreenBot checks it on your computer and keeps only whether it matched.
- Passwords, one-time codes and payment details.
- Screenshots, screen or video recordings, audio or webcam.
- Mouse movements or scrolling.
- The content of the pages you see, including customer information.
- Cookies, the clipboard or the training site's network traffic.
- Anything on other websites or tabs, and anything while no lesson or assessment is running, except the Guided Mode questions you ask.
OnScreenBot never clicks, types or submits anything on the training site: you perform every action. It does not use your data to monitor your productivity.
How assessments are scored
- An assessment is scored out of 100: up to 70 points for achieving the required results, up to 20 for your time and up to 10 for the number of actions you used.
- Time and actions earn points only when every critical result is achieved. Finishing quickly without the required result earns nothing for speed.
- You pass with 80 points or more and every critical result achieved.
- The expected (reference) time is shown before you start. Time counts in full up to 1.25 times the reference and falls to zero at 3 times; actions count in full up to 1.2 times the reference and fall to zero at 2.5 times.
- Time is your active time from start to submission: the part of a page load beyond 1.5 seconds is left out, and thinking time counts. Actions are the controls you use, the fields you complete and the pages you open yourself from the address bar or with back and forward; scrolling and typing inside a field are not counted, and a double click on the same control counts once.
- Results that cannot be checked from the browser are listed in your result and left out of the marks.
- Your workspace can change these weights and the pass mark for an assessment. Every result shows the rule that was applied.
- Scores are calculated on OnScreenBot's servers by fixed rules. No AI model grades you.
Technical problems
Technical problems never count against you. If the training site fails, an element the lesson expects is missing, OnScreenBot cannot observe the page for more than 30 seconds, or you report a technical problem during the attempt, the attempt stops. It is marked Incomplete – technical, it is not graded or counted, and you can retake it at no cost. Your workspace's administrators see what happened so they can fix the cause.
Guided Mode and Moonshot AI
Guided Mode answers come from an AI model: Kimi, by Moonshot AI (Moonshot AI Pte. Ltd.), processed on servers in Singapore. AI answers can be wrong; check them against the lesson.
- OnScreenBot sends your question, the earlier messages of the same conversation, the lesson step you are on, matching training articles, the page address with names and ids removed, and the names of on-screen controls, fields, dialogs and messages that are part of the training. It never sends field contents, passwords, screenshots, the page title or page content with customer information.
- Your name and email address are not sent; a pseudonymous code protects the service against abuse. Email addresses and numbers of nine or more digits in your question are replaced before it is stored or sent. Do not type personal or customer information into your questions.
- Guided Mode is off during assessments and never grades you. Your workspace can turn it off.
- Guided Mode is available only when your workspace's plan includes it and your workspace has it turned on. When it is not available, nothing is sent to Moonshot AI, and the conversations you had earlier stay readable in the learner space and in your data export until they expire.
- When no AI model is configured, Guided Mode shows matching training articles instead of generated answers.
- How long Moonshot AI keeps requests, and whether it may use them to improve its services: To be confirmed by the operator
Who can see your data
- You see your progress, results, step-by-step activity and Guided Mode conversations, and can download a copy of your data.
- Trainers in your workspace see your progress and assessment results.
- Administrators and the owner of your workspace see your progress and results, and view step-by-step activity for reviews and technical problems. Every view of your activity is logged.
- Nobody else reads your Guided Mode conversations. Trainers and administrators see only how many questions are asked per topic.
- FasterApps support staff can act as one of your workspace's administrators to help them: only with a recorded reason, for at most 30 minutes at a time, with every action logged under both names. Guided Mode conversations stay closed to them.
How long data is kept
| Data | Default | Workspace can choose |
|---|---|---|
| Step-by-step activity | 30 days | 7 to 365 days |
| Guided Mode conversations | 30 days | 1 to 365 days |
| Assessment results | 24 months | 30 days to 5 years |
| Audit log and support sessions | 24 months | — |
| Invitations | 30 days after use, withdrawal or expiry | — |
| Request counters | About two days | — |
The result that completed each lesson and your progress figures are kept as your training record. Activity of an attempt with an open review or technical issue is kept until it is closed. Closed technical issues and withdrawn assignments follow the assessment results period.
Deleted data leaves backups when they rotate: To be confirmed by the operator
Your rights
Depending on where you work, you can:
- see your data and get a copy, including the step-by-step activity that is still kept (in the learner space under Privacy & tracking, on screen or as a JSON file);
- have your data corrected, deleted or its use restricted, or object to its use. When you leave, the owner of your workspace can erase your training data there: your practice, results, activity, progress, assignments, Guided Mode conversations and reports, and invitations to your address. The erasure is recorded in the workspace's audit log;
- ask a person to review any assessment result: use Report a problem or ask for a review on the result. A reviewer can accept the result, adjust it or void it so that it does not count;
- complain to your data protection authority.
Your organisation answers these requests, with FasterApps' help. Results are observed in your browser: they suit training decisions and are not a tamper-proof certification, so they should not be the only basis for decisions about your employment.
The Chrome extension
- Site access is requested for one training site at a time, and only when you allow it. OnScreenBot reads pages on that site and draws its highlights; it has no access to other sites and does not read your browsing history.
- Side panel: lessons, assessments and Guided Mode run beside the page.
- Active tab: when you select the OnScreenBot toolbar button, the side panel reads that tab's address once to recognise whether it is one of your workspace's training sites, before asking for access to that one site.
- Storage: keeps you signed in to OnScreenBot, remembers that you read “What OnScreenBot records” (your workspace also records which version you acknowledged and when), and keeps a running lesson's state, including values the lesson needs, so it continues after a page reload. These stay on your computer.
- Scripting: adds the OnScreenBot guide to the training site you allowed.
- Lessons are data checked by the installed extension. It never downloads or runs code from elsewhere.
OnScreenBot's use of information received from Chrome APIs adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements. Data from the training sites you grant is used only to deliver your training — guiding lessons, scoring the assessments you start and improving lessons — and is shown only to you and to the trainers and administrators of your organisation's OnScreenBot workspace, as described in “What OnScreenBot records”. It is never sold, never used for advertising, and never used to monitor productivity. It is transferred to a third party only to provide Guided Mode (Moonshot AI receives your question and a summary without field contents or customer information), to comply with the law, or to protect against abuse.
Security and hosting
Data travels over encrypted connections. OnScreenBot runs on servers operated by FasterApps; hosting location: To be confirmed by the operator Access is limited by workspace, role and licence and checked on every request, and administrative actions are logged.
Changes to this notice
We tell you in the side panel and in the learner space before a change to what OnScreenBot records takes effect. When this notice changes, the side panel shows it again before your next lesson and your workspace records when you acknowledged the new version; Privacy & tracking in the learner space shows which version you acknowledged.
